Security

Rules that no one can override.

Not a staff member, not a director, not an AI. SOOT's rules are enforced inside the database itself, so they hold whichever screen, report or tool tries to get around them.

Rules live in the database

Who may see and change what is checked on every single request, not just hidden on the screen. AI in SOOT will only read and suggest; it can't approve, change or delete anything.

Request: void fee on 2026-0142

Refused

Only a person with fee approval can void a fee, with a reason.

No proof, no invoice

Fees that need proof can't be billed without it, and once a fee is approved its documents can't be taken off. Invoices go out with everything behind them.

A change log nobody can edit

Every change to a matter is recorded: who made it, from which seat, when, and what it was before and after. No one can edit or delete the log, not even a director.

Example · 09:42

Due date 14 Nov → 21 Nov

Changed from the secretary's seat

Block people from a matter

Name the people who may not see a matter, whatever their role, even a director. They can't find it in search, reports, documents or anywhere else. One other director always keeps access.

And everything else

Safe from the login to the ledger.

  • Your money stays in your bank

SOOT records money and never moves it.

  • Authenticator app on every login

A password alone never opens SOOT. Five wrong tries lock the account for 15 minutes.

  • Wrong fees are voided, never deleted

The reason, who and when stay on record.

  • Funding safeguards

A task the trust money can't cover goes on hold until someone authorised releases it.

  • Conflict checks and restricted matters

See where a matter's people appear elsewhere, and lock sensitive matters to the people on them.

  • Seats, not just people

When someone leaves, their work passes to the next person. Personal records stay personal.

  • Each firm kept apart

Not even SOOT's owner can open your matters, clients, documents or money.

  • Documents can't run code

Files open inside SOOT in a safe viewer, so a bad attachment can't run scripts.

  • Sign-ins you control

See who is signed in, sign someone out and choose how long a sign-in lasts.

Times are shown in South African time, money in rand, and SOOT never submits anything to SARS on your behalf: your accountant works from SOOT's figures.
